If an organisation contacts us on behalf of someone else, it may give us relevant information about that person.
We only ask for information that we reasonably need.
How we use your information
We may use personal information to:
- respond to enquiries
- arrange and provide services
- carry out assessments or evidence reviews
- prepare reports or recommendations
- communicate with clients
- manage bookings, invoices and payments
- keep appropriate business and professional records
- meet legal, regulatory or professional duties
We will not use information for an unrelated purpose without an appropriate reason.
Our lawful basis for using information
We only use personal information where UK data protection law allows us to do so.
Depending on the situation, we may rely on:
Contract – when we need information to provide a service you have requested or to take steps before agreeing a service.
Legal obligation – when the law requires us to use or keep information.
Legitimate interests – when information is reasonably needed to run Accessity, respond to enquiries or keep appropriate records, provided your rights are not overridden.
Assessment work may include information about disability or health. UK data protection law treats this as special-category data. Where this applies, Accessity will make sure there is an appropriate additional legal condition for using it.
Sensitive assessment information
Assessment records can contain sensitive information.
We only collect this information when it is relevant to the service. Access is limited to Accessity staff who need it for their work.
Please avoid sending sensitive personal information through the general website enquiry form unless it is necessary. We can agree a suitable way to share reports or other sensitive documents after contact has been made.
Sharing your information
Only Accessity staff who need personal information for their work can access it.
Accessity does not sell personal information.
We will not share information with a school, exam centre, awarding organisation, employer or other third party unless there is an appropriate reason or legal basis.
We may use trusted providers for services such as website hosting, email, secure document storage, accounting or payments. Where they process information for us, they must handle it securely and only for the agreed purpose.
We may also share information if the law requires us to do so.
This page is a starter structure for the appointed web designer. The client will finalise the wording, including the bracketed sections, once business details, forms and data processes are fixed.
Payments
If a third-party payment provider is used, it may process payment information directly.
Accessity does not need to keep full payment-card details when an external payment service processes the payment.
How long we keep information
We do not keep personal information for longer than we reasonably need it.
Different records may need different retention periods because of professional, legal or financial requirements.
ACCESSITY TO CONFIRM BEFORE PUBLICATION: retention periods for assessment records and reports, preliminary or unsuccessful enquiries, invoices and financial records.
When information is no longer needed, it will be securely deleted or disposed of.
Keeping information secure
Accessity takes reasonable steps to protect personal information from loss, misuse, unauthorised access or disclosure.
Access is limited to staff who need the information for their work. Extra care is taken with assessment records, reports and other sensitive information.
No electronic system is completely risk-free, but we use appropriate measures to reduce those risks.
